This Privacy Policy explains how MavrixOps LLC ("MavrixOps," "we," "us") collects, uses, and protects information. We keep this plain and honest: we only describe what we actually do.
This policy covers visitors to mavrixops.com (including people who join our waitlist or request a free audit) and the service businesses who become our clients. We sell business-to-business. For information that belongs to our clients' own customers (for example, a client or patient of a business that uses our service), our client is the business responsible for that information, and we process it on the client's behalf as described in Section 10.
We collect only what we need:
We use information to: respond to your waitlist or audit request and reach out to you about it; provide, operate, secure, and improve the service; communicate with you about your account; meet legal and compliance obligations; and prevent fraud or abuse. We do not sell your personal information.
We share information only with service providers ("sub-processors") that help us run the service, under agreements that limit their use of it. These currently include, for example: cloud hosting and deployment, our database provider, our email-delivery provider, our telephony and messaging provider, and payment processing for paid plans. We may also disclose information if required by law or to protect rights and safety. We do not share your information with third parties for their own marketing.
For clients using calling features, the service may record and transcribe calls for quality, training, and record-keeping. Florida is an all-party (two-party) consent state, so calls handled by the service include a recording notice at the start of the call. Recordings and transcripts are stored securely and used to provide and improve the service for the client they belong to. Clients can request limits on recording as described in their agreement.
When we email you (for example, a waitlist confirmation or updates about launch), we identify ourselves honestly, describe the message accurately, and include a way to opt out. If you ask to stop receiving non-essential emails from us, we will honor it promptly. We may still send you essential service or transactional messages related to a request you made or an account you hold.
Text messages (SMS). We and the businesses that use our service may send SMS text messages such as appointment confirmations and reminders, recall reminders to existing clients who are due for their next routine visit, review requests after a completed visit, and account and lead notifications to business owners. You opt in by giving your mobile number to a business (by calling, texting, or submitting a form, and agreeing to receive texts) or by signing up with us at mavrixops.com/start. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not sell or share SMS opt-in information with third parties, and we do not use it for marketing by anyone other than the contracting business.
We use reasonable administrative and technical safeguards to protect information, including access controls and tenant isolation so one client's data is separated from another's. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect your information and to address issues responsibly if they arise.
We keep information for as long as needed to provide the service and for legitimate business, legal, and compliance purposes, then delete or de-identify it. Specific retention periods for client call recordings, transcripts, and lead data are set in the client agreement. Waitlist and audit-signup information is kept while we are evaluating and following up on your interest, and deleted on request.
You can ask us to access, correct, or delete personal information we hold about you, and you can opt out of non-essential emails at any time. To make a request, email matt@mavrixops.com. We will verify your request and respond within a reasonable time. Depending on where you live, you may have additional rights under applicable law.
When we process information on behalf of a client (such as that client's leads or customers), we act as a service provider to that client. We use that information only to provide the service to the client and as instructed by the client, not for our own independent purposes. If you are an individual who interacted with a business that uses MavrixOps and you want your information addressed, please contact that business; we will support them in responding.
Our service is for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 18.
We may update this policy. If we make material changes, we will update the "Last updated" date and, where appropriate, notify you.
